EnviroMetrics Instrument Rentals Corp. (“EnviroMetrics”) is committed to protecting the privacy and security of personal and business information in accordance with applicable Canadian privacy legislation.

Information We Collect

We may collect:

  • Name and contact information

  • Company details

  • Billing and payment information

  • Service history and order records

  • Website usage data

Use of Information

Information is collected for the purposes of:

  • Processing orders and rentals

  • Providing customer support

  • Billing and account management

  • Improving services

  • Sending service updates and relevant communications

Electronic Communications

In accordance with Canada’s Anti-Spam Legislation (CASL), we only send commercial electronic communications where consent has been obtained. You may withdraw consent at any time.

Data Protection

EnviroMetrics uses reasonable administrative and technical safeguards to protect information from unauthorized access, disclosure, or misuse.

Disclosure

We do not sell or trade customer information. Information may be shared with trusted service providers (e.g., payment processors or shipping providers) where necessary to fulfill services.

Access & Correction

Customers may request access to or correction of their personal information by contacting us directly..



 

Calibration & Quality Assurance Policy:

EnviroMetrics is committed to providing reliable, traceable, and professionally maintained instrumentation.

Equipment Verification

All rental equipment is inspected and function-tested prior to release. Where applicable, instruments are calibrated in accordance with manufacturer specifications.

Traceability

Calibration standards used are traceable to recognized national or international standards where applicable.

Limitations

Calibration confirms instrument performance at the time of testing only. Environmental conditions, field handling, and operational variables may affect instrument performance.

Customer Responsibility

Customers are responsible for:

  • Performing required field calibrations where applicable

  • Following manufacturer operating instructions

  • Verifying suitability for intended application

Calibration certificates will be provided as PDF documents, and available on the client portal.




 

Rental Policy:

At EnviroMetrics, we make environmental instrumentation rental straightforward and reliable.

Step 1: Request Equipment

Contact us by email or phone with your project requirements. We’ll confirm availability and provide a quotation.

Step 2: Delivery or Pickup

Equipment can be:

  • Shipped directly to your office, or home.

  • Picked up from our location

  • Delivered locally (where available)

Step 3: Use with Confidence

All equipment is:

  • Tested prior to release

  • Professionally maintained

  • Ready for field deployment

Our team is available to answer operational questions during your rental.

Step 4: Return Equipment

Return via approved shipping method or arrange pickup. Equipment must be returned in clean, uncontaminated condition (cleaning fees may apply where applicable).



Terms & Conditions


Envirometrics Instrument Rentals Corp

(“Envirometrics”, “we”, “us”, or “our”)

These Terms and Conditions govern all rentals, sales, services, deliveries, and transactions between Envirometrics Instrument Rentals Corp and the customer (“Customer”, “you”, or “your”). By placing an order, renting equipment, purchasing products, or accepting delivery of any goods or services, the Customer agrees to be bound by these Terms and Conditions.

1. Placing Orders

Orders may be placed by email at any time. Orders may also be placed by telephone during our regular business hours.

Business Hours:

Monday to Friday, 7:30 a.m. to 5:30 p.m. (local time)

After-hours pickup and drop-off services may be available upon request and are subject to scheduling, availability, and additional charges.

2. Rental Term Commencement

Rental periods begin based on the scheduled delivery, shipment, or pickup time.

  • If equipment is shipped or delivered for receipt before 12:00 p.m., the rental term begins the same day, in some cases the next day if discussed with the client.
  • If equipment is shipped or delivered for receipt after 12:00 p.m., the rental term begins the next business day.

Envirometrics reserves the right to determine the rental start time based on shipping records, courier logs, and internal dispatch records.

3. Rental Rates and Billing

Rental rates are billed as follows:

  • Daily rental: 24-hour period from the rental start time
  • Weekly rental: 3 consecutive calendar days
  • Monthly rental: 28 consecutive calendar days

The lowest applicable rate will automatically be applied based on the total duration of the rental.

4. Rental Termination

The rental term ends when Envirometrics is notified that equipment is ready for return and/or pickup, and when equipment is returned in acceptable condition.

4.1 Customer Returns (Drop-Off / Shipping)

For equipment shipped back to Envirometrics, the rental term ends the business day the equipment is shipped out, provided it is shipped in acceptable condition and properly packaged.

For customer drop-offs, the rental term ends the day the equipment is received by Envirometrics during business hours.

4.2 Envirometrics Pickup Service

If Envirometrics provides pickup service, the Customer must notify Envirometrics by phone or email and provide the exact pickup location.

  • If notice is received before 12:00 p.m., rental ends the previous business day
  • If notice is received after 12:00 p.m., rental ends that same business day

Equipment must be accessible and ready for pickup. Delays caused by site access restrictions, security issues, or unsafe conditions may result in continued rental charges.

5. Rental Cancellation

Cancellations are subject to the following:

  • Cancellations made more than 24 hours before scheduled delivery/pickup may not be charged rental fees.
  • Cancellations made less than 24 hours prior to delivery/pickup may be subject to a cancellation fee and applicable shipping costs.
  • Orders cancelled after shipment or delivery will be subject to at least one full day rental charge plus shipping charges.

6. Shipping, Delivery, and Transit

Unless otherwise specified, Envirometrics ships equipment via courier services such as Purolator, UPS, or equivalent carriers.

Shipping costs are prepaid and added to the invoice unless otherwise arranged. Customers may provide their own courier account number at the time of order.

All shipments are FOB Origin unless otherwise agreed in writing. The Customer is responsible for all delivery and return shipping charges.

The Customer agrees that delays due to courier transit time do not automatically extend free rental time unless approved in writing by Envirometrics.

7. Equipment Condition and Calibration

All rental equipment is supplied in working condition and meets the manufacturer’s operating specifications at the time of dispatch.

Upon receipt, the Customer must inspect the equipment immediately. Any issues, missing components, or damage must be reported in writing within 24 hours of receipt.

Only Envirometrics personnel (or persons authorized in writing by Envirometrics) may perform repairs on rental equipment. Unauthorized repair attempts may result in repair charges and/or replacement charges.

Customers may perform field calibrations where appropriate; however, Envirometrics assumes no responsibility for results produced by customer calibration.

8. Customer Responsibilities (Operation and Care)

The Customer is responsible for ensuring equipment is used properly and only by trained personnel.

During the rental term, the Customer is responsible for:

  • proper use and storage
  • routine maintenance (if required)
  • protection from damage, theft, loss, water intrusion, contamination, or misuse
  • replacement of consumables (batteries, tubing, filters, etc.) unless otherwise agreed

The Customer shall not alter, modify, or tamper with the equipment.

9. Loss, Theft, or Damage

The Customer assumes full responsibility for all loss, theft, or damage to rental equipment from the time of delivery until return is confirmed by Envirometrics.

If equipment is lost, stolen, or damaged, the Customer agrees to pay:

  • rental charges up to the date of notification, and
  • the full replacement cost or repair cost (as determined by Envirometrics)

Replacement cost may be based on manufacturer list pricing or current market replacement value.

10. Decontamination Requirements

All equipment must be returned in a clean and safe condition, free of hazardous contamination including but not limited to asbestos, mould, biological agents, chemicals, and radiological materials.

Envirometrics reserves the right to refuse equipment returns that are contaminated or suspected to be contaminated.

If equipment is returned contaminated, Envirometrics may apply decontamination charges, cleaning fees, downtime charges, or disposal costs. Decontamination labour may be billed at an hourly rate.

11. Returns and Restocking (Sales Items)

Certain consumable or special-order items may be non-returnable.

If returns are accepted, items must be:

  • unopened, unused, and in original packaging
  • returned in resalable condition
  • accompanied by proof of purchase

A restocking fee may apply. Shipping charges are non-refundable unless the return is due to an error by Envirometrics.

12. Payment Terms

12.1 Standard Credit Terms

Unless otherwise agreed in writing, all invoices are payable Net 30 days from the invoice date.

Past due balances may be subject to interest at 1.5% per month (18% annually), or the maximum allowable under applicable law.

The Customer agrees to pay all costs associated with collection of overdue accounts, including reasonable legal fees.

12.2 Credit Card Payments

Envirometrics accepts credit card payments. The Customer authorizes Envirometrics to charge applicable fees including rental charges, sales charges, shipping charges, damage charges, and overdue balances where authorized.

13. Title and Ownership

All rental equipment remains the property of Envirometrics at all times.

The Customer shall not:

  • sell, transfer, assign, pledge, or encumber the equipment
  • remove or deface identification markings
  • allow liens or security interests to attach to the equipment

The Customer must immediately notify Envirometrics if any seizure, lien, or legal claim is threatened or initiated involving the equipment.

14. Warranty Disclaimer

All equipment is provided “as-is” unless otherwise stated in writing.

Envirometrics makes no warranties, express or implied, including but not limited to warranties of merchantability or fitness for a particular purpose.

Any technical advice provided by Envirometrics is offered as general guidance and does not constitute professional engineering, industrial hygiene, or safety advice.

The Customer remains solely responsible for determining suitability of equipment for their intended application.

15. Limitation of Liability

To the maximum extent permitted by law, Envirometrics shall not be liable for any indirect, incidental, consequential, special, or punitive damages including but not limited to:

  • loss of profit
  • business interruption
  • loss of data
  • project delays
  • regulatory penalties

Envirometrics’ total liability, if any, shall not exceed the rental charges paid for the specific rental period or service giving rise to the claim.

16. Indemnification

The Customer agrees to indemnify and hold harmless Envirometrics, its officers, employees, contractors, and agents from all claims, liabilities, damages, and costs (including legal fees) arising from:

  • the use, operation, handling, or storage of rented equipment
  • contamination exposure or unsafe handling
  • injury to persons or damage to property
  • customer misuse or unauthorized modification

except to the extent caused solely by Envirometrics’ proven gross negligence.

17. Insurance

The Customer is responsible for maintaining adequate insurance coverage for rented equipment and jobsite operations, including liability coverage.

Envirometrics may request proof of insurance prior to dispatching certain equipment.

18. Default

The Customer is considered in default if:

  • payment is not made when due
  • equipment is not returned when requested
  • equipment is damaged through misuse or negligence
  • equipment is altered without authorization
  • the Customer breaches any term of this agreement

Upon default, Envirometrics may terminate the rental agreement, recover equipment, and invoice the Customer for outstanding rental charges, recovery costs, repair costs, and related expenses.

19. Non-Assignability

The Customer may not assign, transfer, or sub-rent equipment without written permission from Envirometrics.

20. Governing Law

These Terms and Conditions shall be governed by the laws of the Province of Ontario and the applicable federal laws of Canada.

Any legal action or proceeding shall be brought in the courts of Ontario, unless otherwise agreed in writing.

21. Electronic Communications (CASL Compliance)

By providing your contact information, the Customer consents to receive commercial electronic messages from Envirometrics related to services, rental reminders, invoices, quotes, and product updates, in accordance with Canada’s Anti-Spam Legislation (CASL).

Consent may be withdrawn at any time by contacting Envirometrics.

22. Acceptance of Terms

By placing an order, accepting delivery, or using rental equipment, the Customer confirms they have read, understood, and accepted these Terms and Conditions.
